How to automatically summarize every meeting (2026)
Connect a calendar so Circleback's notetaker joins every meeting (or record without a bot using the desktop app), and every meeting ends with notes, action items assigned to the people responsible, and a speaker-labeled transcript. For decisions, key takeaways or an executive summary in a fixed format, set up a custom insight on Pro and up. Then send the outcomes where your team works, like Slack or Linear, with an automation.
Circleback makes this product. Competitor details below come from each vendor's own pages.
Step 1: How do you capture every meeting automatically?
Connect a calendar, then open Settings > Calendar > Joining preferences. Pick Internal, External, or both (on personal-email accounts, Internal is labeled "All meetings"). From then on, Circleback's bot joins any meeting with a Zoom, Google Meet, Microsoft Teams or Webex link. With both options off it joins nothing, so if the goal is a summary after every meeting, turn both on.
Two optional filters widen the net: meetings someone else organized, and meetings you declined or haven't answered. To skip a single meeting, toggle joining off for it from Home. Workspace admins can set or enforce joining preferences for everyone.
If you don't want a bot on the call, install the desktop app for macOS or Windows. It records Zoom, Google Meet, Teams or any other platform from your mic and computer audio. Turn on Settings > Notifications > Detect meetings and the app notifies you when another app starts using the mic. With joining preferences on, the bot tries first. If its join request is denied while you're on the call, the desktop app prompts you to record, as long as it is installed and running with Detect meetings on. Turn on Start recording automatically to skip the click.
For meetings in a room, record audio on your phone (iOS or Android) or on Apple Watch. The quickest ways to start are the Lock Screen widget, the Apple Watch complication, or the iPhone Action button. You can also import audio and video recordings you already have.
Step 2: What do you get after each meeting?
Each captured meeting produces a speaker-labeled transcript, notes, and action items, and all of it becomes searchable context for later. Alongside the summary, Circleback saves the full video, the full audio and the full transcript of your meetings, on every plan (the mobile app saves audio only). Play back or download the recording any time, and jump to any word in the transcript.
Circleback assigns each action item to the person responsible when the conversation makes it clear. If someone says "I'll send the revised quote," the item goes to them. Action items from every meeting land in one shared task list for the workspace, where you can filter them, mark them done, or send them to Linear and other trackers. Items where nobody clearly took ownership in the conversation are the ones to check after the call.
For the full action item workflow, see how to track meeting action items. For how the notes get written, see how AI meeting notes work.
Step 3: How do you capture decisions and key takeaways?
Notes and action items come with every meeting. For decisions, key takeaways, an executive summary or a list of topics, you set up a custom AI insight, available on Pro and up. An insight starts from a template or from a description you write, and custom fields let you fix the shape of the output so every meeting's result looks the same.
To have an insight run after every meeting, add it as a step in an automation, the same way automatic follow-up drafts work. Results show up in two places: the Insights tab of each meeting, and the Insights page, where one insight is collected across all your meetings. That second view is the one to use for questions like "what did we decide this quarter?"
Here's an example a team might set up for decisions. The name, description and fields are all yours to define:
Insight name: Decisions
Description: List each decision the group agreed on in this meeting.
Leave out ideas that were discussed but not agreed. Leave out tasks;
those are captured as action items. One entry per decision.
Custom fields:
- Decision: what was agreed, in one sentence
- Owner: who is accountable for carrying it out
- Reason: why the group chose this, using the speakers' words where possible
- Revisit if: anything the group said would reopen the decision
Other insights a team could build the same way:
- "Key takeaways": three to five points written for someone who missed the meeting.
- "Executive summary": fields such as Outcome, Risks and Asks, so every leadership update reads the same.
- "Topics": one entry per topic discussed, with a short summary of each, if you want notes broken down by subject.
For a step-by-step walkthrough of building an insight inside an automation, see use automations to identify insights in meetings.
Step 4: How do you send summaries and action items where your team works?
Use an automation. On the Free plan, automation steps include Slack, Linear and Share meeting. That covers the most common setup: post the notes to a team channel and turn action items into Linear issues. Pro and up opens automations to all integrations, including Notion, HubSpot, Salesforce, Attio and webhooks.
Automations can be conditional, so steps for your CRM, Slack, Notion, Linear, monday.com or Zapier run only for the meetings that match. Customer calls can go to one Slack channel while internal standups stay out of it.
Guides for the two Free integrations:
- Automatically send meeting notes and action items to Slack
- Automatically create Linear issues for tasks that come up in meetings
Follow-up emails work a little differently. On every plan, including Free, you can connect Gmail or Outlook Mail and ask Circleback to draft a follow-up from the meeting, past email threads and your calendar. It sends from your connected account after you review the draft. Having drafts written automatically after each meeting (a custom AI insight in an automation) needs Pro and up.
Step 5: How do you organize notes so people can find them?
Organization in Circleback comes from who can see a meeting, plus search.
- Group people into teams. Free includes 2 teams, Pro 5, and Business and up unlimited.
- Set conditional sharing rules by participant, domain, title or tag, so a meeting reaches the right people without anyone forwarding it. For example, share every meeting with an external domain to the account team that owns that customer.
- Choose the output language. Circleback detects the spoken language, and you pick the language your notes and other outcomes are written in.
- Search instead of filing. Meetings become searchable context. Connect Gmail or Outlook Mail and email threads show up in search next to your meetings.
- Add the "Topics" insight from Step 3 if you want each meeting's notes broken down by subject.
On Free, meetings older than 30 days (imports included) are locked, not deleted, and upgrading to Pro unlocks them. The same 30-day limit applies when you reach meetings through Circleback's MCP on Free.
Can AI tell decisions from action items?
Yes, if you set it up. An action item is a task someone owns. A decision is something the group agreed on, and it often has no task attached. Circleback extracts action items and assigns them by default. Decisions need a custom insight (Pro and up) whose description tells the AI to record only what was agreed and to leave tasks out, like the Decisions example in Step 3.
For keeping a running record of decisions over time, see how to document team decisions.
Which tools automatically summarize meetings?

Circleback fits teams that want decisions, takeaways or executive summaries in a format they define, one shared action item list across the workspace, and Slack and Linear automations on the Free plan.
FAQ
How do you automatically create a summary after every meeting?
Connect a calendar to Circleback and turn on joining preferences (Internal, External, or both) in Settings > Calendar > Joining preferences. The bot then joins every meeting with a Zoom, Google Meet, Microsoft Teams or Webex link, and each meeting ends with notes, assigned action items and a speaker-labeled transcript. If you don't want a bot on the call, the desktop app for macOS and Windows records instead.
How do you capture key takeaways automatically?
On Pro and up, create a custom AI insight such as "Key takeaways," starting from a template or your own description, and add it to an automation so it runs after every meeting. Custom fields keep the output in the same shape each time. Results appear in each meeting's Insights tab and on the Insights page across meetings.
Which tools generate executive summaries from meetings?
In Circleback, an executive summary is a custom insight you define on Pro and up, with custom fields such as Outcome, Risks and Asks so every summary follows one format. As of Oct 2026, Fireflies.ai includes limited AI summaries on its Free plan, and Fathom's Free plan includes advanced summaries marked "limited use."
Which AI meeting assistants generate follow-up tasks?
Circleback extracts action items from every meeting, assigns each to the responsible person when the conversation makes it clear, and collects them in one shared task list you can filter, mark done, or send to Linear and other trackers. Linear steps are available in automations on the Free plan. For follow-up emails, every plan can ask Circleback to draft one from the meeting, past email threads and calendar, and automatic drafting needs Pro and up. The full workflow is in how to track meeting action items.
Can AI distinguish between meeting decisions and action items?
Yes. Circleback extracts action items and assigns them to owners by default. Decisions need a custom insight (Pro and up) that tells the AI to record only what the group agreed on and to leave tasks out. See how to document team decisions.
What is the best way to organize AI-generated meeting notes?
Start with teams and conditional sharing, then rely on search. Free includes 2 teams, Pro 5, and Business and up unlimited, and sharing rules can route meetings by participant, domain, title or tag. Meetings are searchable, and connecting Gmail or Outlook Mail puts email threads in the same search. On Free, meetings older than 30 days are locked, not deleted, until you upgrade to Pro.
